TITLE: Logistics Specialist

DEPARTMENT:  Logistics

LOCATION:  Newport News, VA

POSITION SUMMARY

This position is responsible for receiving and processing new orders, customer confirmations, vendor purchase orders and general support for the Newport News office.  Assists in the execution of the flow of materials, products, services and related systems information from point of origin to point of delivery in support of sales, logistics, and operations of the business.  Must be able to communicate with customers, vendors, business partners and suppliers by phone and email. The ideal candidate would have previous involvement in receiving and processing government orders using multiple contract vehicles  ECAT, FSS, GSA, experience with Prime Vendors and knowledge of the FAR.

 

Duties of Position: 

  • Receive incoming inventory.  Inspect all packages for damage, record lot numbers, expiration dates and other information required, adhering to company standard operating procedures and FDA requirements when applicable.
  • Review of inbound and outbound shipments for discrepancies and inaccuracies (piece count, part number validation, etc.) Perform transactions related to shipping and receiving in the Electronic Data Interchange (EDI). 
  • Process purchase orders for the company with vendors, suppliers, and business partners.  Ensuring that all sales orders in QuickBooks, package and ship orders per company™s standard operating procedures.  Utilize First-In First-Out (FIFO) inventory controls, shelf life requirements and any product actions identified by the customer or supplier. 
  • Maintain order accountability, to include tracking numbers and packing slips to ensure on-time, complete and accurate deliveries to customers. 
  • Maintain order statuses and have the ability to prioritize and communicate with customers on expected delivery dates. 
  • Experienced in producing and providing freight quotes when needed. 
  • Responsible for arranging for pickup by the freight carriers specified on the customer's purchase order. 
  • Responsible for keeping an adequate supply of shipping materials.
  • Must be able to recognize problem areas and implement corrective solutions. Provides resolution of shipping related issues. 
  • Prepare kitting package as required by the customer. 
  • Assist the Logistics Manager in other projects, duties, or cross-training responsibilities as assigned. 
  • Maintain the work area in a clean and orderly condition.
  • Organize and manage files. 
  • Perform other administrative duties as requested.

 

EXPERIENCE, KNOWLEDGE AND SKILLS REQUIRED

  • High School graduate or equivalent.  Prior military a plus. 
  • 3  - 5 years-experience in logistics, shipping and receiving, inventory management, distribution and customer service. 
  • Excellent written and oral communication skills. 
  • Proficient in Microsoft Office, Internet, QuickBooks and government Electronic Data Interchange (EDI) systems.
  • Demonstrated experience within a customer focused environment.
  • Exhibits high level of professionalism in all interactions with other team members, customers, vendors and handles difficult situations tactfully.
  • Demonstrated analytical skills to solve problems and improve processes.
  • Proven experience in logistics and operations in a distribution or manufacturing company.
  • Self-starter, exceptional interpersonal skills, demonstrated team player, willingness to learn, effective time management skills, friendly, confident, well-organized, and creative problem solver and a strong desire to learn.
